About the role:

The Medical Planner & Coordinator for Healthcare Projects is responsible for ensuring the translation of clinical, operational and medical requirements into coherent architectural, engineering and equipment solutions across all project phases. The role guarantees that healthcare facilities are clinically functional, regulation‑compliant, operationally efficient and technically coordinated.

Reporting To Contract Manager / Head of Technical & Innovation Department

Functional Interfaces - Medical & Clinical Stakeholders, Architects, Engineering Disciplines (MEP, HVAC, Medical Gases, ICT), Equipment Suppliers, Contractors, Commissioning Teams.

 

Key Responsibilities:

1. Medical Planning & Functional Programming

  • Develop and validate medical and functional programs for hospitals and healthcare facilities.
  • Define departmental adjacencies, patient/staff/material flows, clean–dirty segregation, infection control routes and emergency pathways.
  • Prepare consistent department‑based and room‑by‑room area programs.
  • Produce room data sheets (RDS), room‑by‑room maps, functional diagrams and layout narratives.

 

2. Stakeholder Coordination & User Engagement

  • Develop structured meetings and workshops with client representatives and clinical stakeholders.
  • Translate clinical inputs into clear, actionable requirements for designers and engineers.
  • Validate design solutions with end‑users at each design stage, ensuring clinical adequacy.
  • Support decision‑making processes and formal approvals with the client.

 

3. Medical Equipment Planning, Selection & Procurement Support

  • Develop, coordinate and validate Medical Equipment Lists (MEL), by department and by room.
  • Support the selection of medical equipment, including:
  • Technical specifications
  • Compliance with functional and regulatory requirements
  • Compatibility with infrastructure and space constraints
  • Provide technical support during procurement and negotiation processes, including evaluation of suppliers’ technical proposals and clarification meetings with vendors.
  • Ensure integration of equipment requirements into architectural, structural and MEP designs.
  • Review project documentation to ensure full alignment with medical and equipment needs.
  • Ensure compliance with local regulations and international healthcare standards – Portuguese ACSS, HTM’s (NHS),…, including infection control, patient safety and accessibility.

 

4. Construction Support, Commissioning & Handover

  • Support the project during the construction phase by reviewing submittals, shop drawings and responding to Requests for Information related to medical planning and equipment.
  • Participate in commissioning activities, ensuring that spaces, installations and equipment comply with functional and clinical requirements.
  • Coordinate with suppliers and contractors during equipment delivery, installation and testing.

·       Support operational readiness, user training and handover, including:

  • Basic training coordination for clinical users (with suppliers when applicable)
  • Verification of room readiness and functional performance

Requirements

  • Degree in Medicine, Nursing, Biomedical Engineering, Healthcare Planning, Health Architecture, or equivalent.
  • Postgraduate qualification in Healthcare Planning / Hospital Design is an advantage.
  • Minimum 8–10 years of experience in medical planning and coordination of healthcare projects.
  • Proven experience in hospital projects throughout design, construction and commissioning phases.
  • Strong exposure to medical equipment planning and coordination.
  • Strong understanding of clinical workflows and hospital operations.
  • Solid experience with room‑by‑room planning, Room Data Sheets and medical equipment coordination.
  • Ability to interface confidently with medical professionals and technical teams.
  • Excellent coordination, communication and documentation skills.
  • Capability to support technical procurement and negotiation processes.
  • Portuguese and English – mandatory
  • French – is an advantage
